After importing attendance and substitutes into the payroll register, you may want to add, edit or delete the imported entries. It is possible to make these adjustments in the current payroll run as long as the payroll run still has the status “Draft.” If payroll journal entries have already been created, already-imported attendance cannot be changed.
Importing additional attendance
If you need to add attendance or substitute entries, you can make a new entry in the Employee Attendance/Time Off/Substitutes page in Human Resources. After creating an additional attendance entry, go back to the Time Off or Substitutes tab in the payroll register and click Import Time-Off or Import Substitutes again. The additional entries will automatically be imported.
Editing imported attendance
There may be times you want to edit attendance or substitute entries that were imported to the payroll register. For example, you might have entered the incorrect time off amount or want to delete a specific entry altogether. Once time off and substitute entries have been imported into the register, the original entry in HR becomes uneditable. To edit the imported entries, first you will need to delete them from the register, then edit the original entry in HR, and finally import the entries in the register again.
To edit time off or substitute pay that has already been imported in a payroll run:
- Delete the imported time off for a particular employee or the substitute on the payroll register.
- Go to Financials Main > Payroll > Payroll Run
- Register
- Time Off tab or Substitute tab
- In the far right, click Delete for the particular employee or click the down arrow next to a substitute and Delete Payroll Item
- Edit the entry in the Employee Attendance/Time Off/Substitute tab
- Go to Financials Main > Human Resources > Employee Attendance/Time Off/Substitute
- To edit click Edit next to the entry you want to edit. To delete click the down arrow next to the entry and click Delete.
- Save
- Import the time off or substitutes again in the payroll register.
- Go to Financials Main > Payroll > Payroll Run
- Register
- Time Off tab or Substitute tab
- Import Time-Off or Import Substitute
