Bus route information may be created and assigned manually for schools with small enrollment. To facilitate the process of assigning bus routes, it’s possible to import the data and update students en masse with the instructions in this guide. This is the desired process for schools with larger student enrollment.
To complete this process, create the Bus Routes first at each school building. Then, mass update student bus route information via student/contact import.
Create Bus Routes
When setting up bus routes you will create routes and stops along each route.
To create a bus route:
- Go to School Main > Bus Routes
- Create Bus Route
- Enter a Description of the route
- (Optional) Include a Capacity for number of students on the route
- Save
To create a bus stop:
- Go to School Main > Bus Routes
- Choose a Bus Route to work on
- Create Bus Stop
- Enter a Description of the stop
- Enter a Pickup Time (Morning) or Dropoff Time (Afternoon)
- (Optional) Enter Notes
- Save
Prepare Import Data
Rather than creating an empty spreadsheet, you will generate a report from SchoolInsight and input data before importing.
First, generate a spreadsheet of student information as follows:
- Go to School Main > Reports > Saved Reports
- Create > Classic Custom Report
- In the Data tab, add the following fields fields in the following order:
- Student First Name
- Student Last Name
- Student Number
- Grade Level
- Morning Bus Route
- Morning Bus Stop
- Afternoon Bus Route
- Afternoon Bus Stop
- In the Output tab, select Comma Delimited (CSV)
- Select Save As…
- Enter a name for the Report
- Save
- Generate
- Download the csv file from the “click here to download” prompt
Next, open the spreadsheet to fill in all the bus fields for students. It’s important that you write in the fields exactly as they were set up in SchoolInsight. For example, if the bus stop is called “Prospect/Monroe” and the sheet has it written as “prospect - monroe”, the information will not be recognized and not imported.
Import Data
At this point, you should have a separate spreadsheet for each building in your district. They should be saved as a .csv file in order to be imported. The next step is to perform the import.
To import the bus route information:
- Go to School Main > Import/Export
- Import Students/Contacts
- Select Choose File
- Find the file in your File Explorer and select it
- Upload
- Select the appropriate Academic Year
- This step is very important because the grade levels on the sheet should match the enrollment of the selected academic year. Please double check your sheet before importing if you are unsure.
- Scroll down to the Options section
- Under the “If the input file data matches…” field, select Student Name (number must match too)
- Preview
Ideally, the import preview should look like the screenshot below. The data should be valid and importable (no Errors), it should not be a repeat of existing information (no Duplicated), and we should not be adding new students (no Inserted).
