In order to e-file 1094s/1095s, you will need a Transmitter Control Code (TCC) and a successful test file submission.
Districts who have never e-filed the 1094 will need to obtain a TCC, submit a test file, and call the IRS to switch to production before uploading the real data.
Districts who are new to SchoolInsight Financials but have e-filed in the past should be able to use the same TCC, but they will need to submit a new test file and call the IRS to switch to production before uploading the real data.
Districts who have already e-filed with SchoolInsight Financials in the past should be able to proceed directly to upload their real data. No new TCC should be needed, and no new test file should be needed.
Apply for TCC
A Transmitter Control Code (TCC) is a unique identifier for each employer that e-files 1094s/1095s. Note that the TCC for e-filing 1094s/1095s is NOT the same as the TCC used for e-filing 1096s/1099s.
If your district already has a TCC for 1094s/1095s, then it should be valid unless you received a notice about its expiration. Even if this is your first year with SchoolInsight Financials, the switch to a new software should not require a TCC code.
If your district does not already have a TCC for 1094s/1095s, you will need to apply for one.
Begin by filling out an ACA application and get a TCC as an issuer for the 1094/1095s.
- Apply for a TCC for ACA submission on the IRS website: Affordable Care Act (ACA) Services
- Follow all steps needed at IRS to obtain your TCC
- After you have obtained your TCC for 1094/1095, log in to SchoolInsight Financials and go to Financials Main > Setup > Tax Form Settings
- Edit
- Enter your 1094 Transmitter Control Code (Electronic File)
- Save
Configure the employee 1095 details according to the instructions in Configuring 1095s.
Submit Test File
If this is the first time you have e-filed 1094/1095 at your district OR if this is the first time you have e-filed 1094/1095 at your district with our School Insight Financials software, your TCC will be in the Test "T" status instead of the Production "P" status. If you have e-filed 1094s/1095s at IRS AIR with our software before, please start with “Submit Real File” below.
Upload a successful test file to UI AATS (Affordable Care Act information returns (AIR))
- Go to Financials Main > Payroll > Tax Forms
- Select the tax form 1094-B or 1094-C (whichever is used by your district)
- 1094-B is the summary page for 1095-B forms
- 1094-C is the summary page for 1095-C forms
- Select the format Communication Test File
- Generate
- Unzip the files
- Upload the Communication Test File to the UI ACA Assurance Testing System (AATS) by signing in to UI AATS
- Save the Receipt IDs
Change TCC Status to Production
- Call the IRS AIR at 866-937-4130 and give them the Receipt IDs you saved above so that they can move your TCC from Test “T” to Production "P"
- You will receive a notification that the move to Production has been completed
- 48 hours after this confirmation you can proceed to submit the real file below
Submit Real File
If you have e-filed 1094s/1095s at IRS AIR with our School Insight Financials software before, begin by submitting the Electronic file to production on the ACA production system AIR: Affordable Care Act information returns (AIR)
- Go to Financials Main > Payroll > Tax Forms
- Select the tax form 1094-B or 1094-C (whichever is used by your district)
- 1094-B is the summary page for 1095-B forms
- 1094-C is the summary page for 1095-C forms
- Select the format Electronic File
- Generate
- Unzip the files
- Upload the Electronic File to ACA information returns by signing into UI production system.
If your upload is accepted with no errors, you are finished!
