How do I create custom student data fields?

SchoolInsight allows admins to store demographic data for students. Commonly used student data fields are pre-populated, but admins can create customized data fields to record additional demographic data specific to their school needs. These custom student data fields can then be viewed in Students - Single View, utilized in Online Registration, and exported in reports.

Districts with multiple schools in SchoolInsight, can set field availability to the entire district or specific schools only. If you are interested in creating a district wide student field, then you should start the process from the district level.

To create a custom student data field:

1. Go to Main > Options > Configure Student Fields > Create New Field
2. (District Only) Set the School field to determine availability for the entire district or specific schools
3. Enter the name for the field
4. Select a Type. Read more about the specific types below.
5. Set mandatory to indicate if the field is required when creating or editing students
6. Set Show On ‘Students - Multi View’ Page, if this field should be displayed on the “General Information” column on the Students - Multi View page. Use for most frequently accessed data only. This option is not available for “File uploads”
7. Reset Value During Yearly Promote Not available for “File uploads”
   • Select Yes to clear out data when promoting students to the next school year
   • Select No to preserve data upon student promotion
8.  Enter if Instructors Can Access the field on the instructor portal 
9. Save

Custom Data Field Types

Custom data fields can have any of the following types in SchoolInsight:

Type	Description
Date	Allows entry of a date field that includes a date picker calendar
Number - Integer	Allows entry of an integer value*
Number with Decimal	Allows entry of a number with a decimal value
Text String	Allows entry a short line of text
List	Allows the admin to build a list of items to choose from. Enter list items in the text boxes. Use the  to add more text boxes. The list items will be displayed in a dropdown menu.
Large Text String	Allows for input of many lines of text
True/False	Allows user to choose from a Yes/No dropdown menu
File Uploads	Allows files to be uploaded. Marking "Sensitive Health Information" causes the field to appear on the Health records Student Single-view and require Admin Health record permissions to view/update it

* Do not use data type Integer to store phone numbers. SchoolInsight supports tracking multiple phone numbers per student and contact.
