This article will discuss some of the common errors you may encounter when running the Illinois State Board of Education’s (ISBE) Student Discipline Groups export.
These most common errors are grouped as:
- Incident type is not a valid IL code
- Action type is not a valid IL code
- Disability type must be entered
- Disciplinary Duration is not valid
Incident type is not a valid IL code
This error occurs if the action type is reported to the state while the incident type is not. You can see which incident types are reportable to the state by navigating to the incident type list in the discipline module.
To find out if an incident type is reportable to the state
- Go to District/School Main > Discipline > Incident Types
- If there is a value in the State Code Column, then that incident type will be reported to the state
To correct this error, you will either have to select an incident type that is reportable to the state, or change the action type to one that is not reportable to the state.
To change the incident/action type
- Go to District/School Main > Discipline > Discipline Incidents
- Select the desired Academic Year
- Find the incident in question
- If in Student Mode, find the student using the search bar
- If in Date Mode, select the date the incident occurred
- Click edit next to the incident in question
- Change the incident/action type
- Under Incident Type, select the correct incident type
- Under Student, click edit and select the correct action type
- Save
Action type is not a valid IL code
This error occurs if the incident type is reported to the state while the action type is not. You can see which action types are reportable to the state by navigating to the action type list in the discipline module.
To find out if an incident type is reportable to the state
- Go to District/School Main > Discipline > Action Type
- If there is a value in the State Code Column, then that action type will be reported to the state
To correct this error, you will either have to select an action type that is reportable to the state, or change the incident type to one that is not reportable to the state.
To change the incident/action type
- Go to District/School Main > Discipline > Discipline Incidents
- Select the desired Academic Year
- Find the incident in question and click edit
- Change the incident/action type
- Under Incident Type, select the correct incident type
- Under Student, click edit and select the correct action type
- Save
Disability type must be entered
When reporting discipline to the state, ISBE requires the disability type of each student involved to be included in the report. Even if the students involved have no disability, this information must be sent to the state. Disability type is stored as a student demographic information.
To edit student disability type:
- Go to School Main > Students - Single View
- Look up the student in question
- Edit Student
- Under the Demographics section, find Disability and select the correct disability type or “None - 99”
- Save
This will add a disability type to the student and will resolve this error. You can also mass edit Disability to set a disability type for multiple students at once.
Disciplinary duration is not valid
This error most commonly occurs when a disciplinary duration has not been entered. It also occurs if the duration is longer than a two digit value. In order to resolve this, you must edit the disciplinary duration.
To edit the disciplinary duration
- Go to District/School Main > Discipline > Discipline Incidents
- Select the desired Academic Year
- Find the incident in question and click edit
- Under Student, click edit and enter in a valid duration
- Update
- Save
