This article explains how admins can manually schedule classes using SchoolInsight’s Master Schedule by Instructor page. This process can be divided into three main parts:
If your school has a master schedule in the previous academic year that you plan to reuse or only need to make minor changes to, then you should copy that schedule into the new academic year first. For guidance on copying the previous year’s schedule, please refer to the following article.
Configure a Class’s Schedule
The primary components of scheduling a class are editing an individual class’s schedule and configuring which cycle days and daily periods that class meets.
To edit a class’s schedule:
- Go to Admin Main > Scheduling > Master Schedule by Instructor
- Scroll to the Unscheduled Classes section
- Click edit on a class
- Select the daily period(s) during which class will meet for each cycle day
- Periods where the instructor or room are occupied will appear blue
- Select grading period schedule setting
- Same schedule for ALL grading periods: Class meets in the same daily period all year
- Schedule may change each grading period: Class meets in different daily periods based on grading period
- Save
Resolve Scheduling Conflicts
When editing a class, the “Schedule Complete” status will inform you of any conflicts that may prevent you from completing the schedule. Below is a list of conflicts you may encounter along with an explanation of what each one means:
- Incorrect Meetings Per Cycle: The total number of daily periods the class is scheduled to meet across all regular cycle days does not match the meetings per cycle set on the course’s scheduling tab. This conflict may require that you adjust the total number of daily periods you have selected for the class or that you edit the course to adjust the number of meetings per cycle.
- Incorrect Meetings Per Day: The number of daily periods the class is scheduled to meet in a single cycle day does not match the weight on the course’s scheduling tab. This conflict may require that you adjust the class’s number of selected daily periods per cycle day or that you edit the course to adjust the minimum or maximum weight per day.
- Room/Instructor Conflict: The class is scheduled during a time that overlaps with another class in that room or during a time that the instructor is scheduled to teach another class. If the overlap was intentional, click Ignore Conflicts.
Configure a Class’s scheduling options
The class edit page offers an additional list of scheduling options that can be configured. Some of these options apply only to schools using automated scheduling. Below is a list of each of these options and their functionality:
- Lock: If using Fully Automated scheduling, this will lock the class’s place in the master schedule and prevent the system from moving it to a different daily period.
- Section Size: If using Automated Student Scheduling, this limits how many students the system can roster into the class.
- Room: Assigns the class to a location so the system can build a room schedule and calculate room conflicts.
