Students can be promoted and/or retained within the same school building or to a different building within the district. This most commonly occurs at the end of the academic year when it is time to promote students to the next grade level or retain those who are being held back, but it can also occur during the academic year if a student needs to be moved to a different building within the district.

Before promoting students to the next academic year, you must have the future academic year created with a calendar.
To promote students to the next academic year:
- Go to School Main > Students - Multi View
- Set the Academic Year filter to the ending year
- Click Promote/Transfer Students. (Districts with single schools skip to step 4)
- Select the appropriate Type of Move
- Promote/Retain students within a building: Use for regular promotions.
- Promote students to a different building: Use for students graduating from this school to another school within the district
- Transfer students to a different building in the current year. For more information on this type of move, click here.
- By default, the students will be set to promote to the next academic year for the next grade level.
You can check the checkbox to promote to other years (summer for instance), or may change the grade level option when promoting retained students.- If the students are being promoted to a different building, there is an additional field for Next School to denote the building they are moving to
- If the students are being promoted to a different building, there is an additional field for Next School to denote the building they are moving to
- (Optional) click the plus icon next to Reset Values of the Following Fields to Defaults to review student fields that will copy over (checked) to the next year and which are going to reset (not checked).
- To save these preferences, check the box Save “Fields to Reset” preferences?
- Students to Promote
By default, all students are selected except for the highest grade level, because the highest grade graduates or gets promoted to another school in the district.- Uncheck any students that will be retained or not returning
- To select all students, check Promote?
