This article is for Illinois schools that are required to submit the ISBE Early Childhood Indicators and Programs file. It explains how to configure settings on your courses, class sections, and rosters so that student records are included in the file:
Report Programs at the beginning of the year
You will need to update settings on your courses and class sections to report your Early Childhood Indicators and Programs at the beginning of the year.
Courses can be managed at the school or the district level, based on the school permission. If you are unable to edit a course from the school level, then you need to ask a district admin or switch roles to your district account, in order to edit the courses.
First, update the courses:
- Go to Main > Courses > Course - Single View
- Search for a Preschool course, such as “73028APFA - Preschool for All”
- Select Edit
- Select the State Data tab
- Click Export to State
- Check the box for Early Childhood/Pre-Kindergarten Course
- Set the appropriate Early Childhood Program
- Save
Classes are always managed at the school level.
Update the class sections:
- Go to School Main > Classes/Sections
- Locate one of the preschool classes
- Select edit
- Enter the Start Date
- Enter the EIS Position Type
- Set the Service Location
- Set the Service Type
- Save
Once you’ve configured these options, you will be able to preview and upload the Early Childhood Indicators and Programs file to ISBE.
End Programs at the end of the year
At the end of the year, you will want to edit the classes and rosters to end the Programs. Both of these tasks are completed at the school level.
First, update the class sections:
- Go to School Main > Classes/Sections
- Locate one of the preschool classes
- Select edit
- Set the End Date
- Set the Reason for Ending Provider
- Save
Last, edit the rosters:
- Go to School Main > Classes/Sections > rosters
- To edit a single student:
- Select edit
- Set Reason for Ending Program
- Save
- To mass edit the students:
- Select Mass Edit
- Enter Reason for Ending Program
- Select the Students to Edit
- Save
