The PSRS/PEERS Employer Reporting File can collect information about the number of hours worked by employees who have a position with the wage type Non-Member Retiree or Non-Member. The number of hours reported in the file is calculated from four contributing factors found in the payroll register:
Each contributing factor is considered independently, so if multiple are used by a single employee, the hours from each will be added together.
These factors affect the hours reported ONLY when the employee’s position has the wage type Non-Member Retiree or Non-Member. Positions with a different wage type will never display hours in the Employer Reporting File, even if one or more of the four contributing factors apply to them.
1. Salary Wages tab
In the Payroll Register, employee positions with the wage type Non-Member Retiree or Non-Member who have data in the Salary Wages tab (from a Salary, Simple Amount, or Amount Series payroll item) will show a box for Retiree Hours beneath the wages. Any number entered here will be added to the Hours column of the PSRS/PEERS Employer Reporting File.
2. Hourly Wages tab
If the employee position has an Hourly wage item, the number of Hours Worked, Hourly Time Off, and Overtime Hours entered in the Payroll Register will be added to the Hours column of the PSRS/PEERS Employer Reporting File.
3. Hourly substitutes
If the employee worked as a substitute being paid at an hourly rate, the number of hours paid will be added to the Hours column of the PSRS/PEERS Employer Reporting File.
4. Daily substitutes
If the employee worked as a substitute being paid at a daily rate, then we will take the “Work Day Hours” number found at Financials Main > Human Resources > Time Off Options and multiply that by the number of days being paid. The product will be added to the Hours column of the PSRS/PEERS Employer Reporting file.
For example, if the Work Day Hours field is set to 7 and an employee was paid for 1.5 days of substitute work, then the 10.5 hours will be added to the Hours column of the PSRS/PEERS Employee Reporting File.
