Retirees from Illinois’ Teacher Retirement System (TRS) who return to work in certified positions requiring licensure must have their hours reported to TRS. This Post-Retirement Hours field is listed on each employee record in Gemini, and is required if the employee’s contribution category is Retired.
Per TRS regulations, a maximum of 5 hours per day can be reported as post-retirement hours, even if the retiree truly works more than 5 hours. For partial days (fewer than five hours), the actual number of clock hours worked is recorded.
Substitutes
SchoolInsight Financials calculates the post-retirement hours of substitutes, as long as their work is recorded through the Employee Attendance/Time Off/Substitutes page. The calculation method varies depending on whether the substitute’s wages are recorded as an hourly or daily rate.
Hourly Rate
If the substitute’s wages are entered with an hourly rate, we will use the number of hours worked, up to a maximum of 5 hours per day.
Example: Julio Barnard works
- 7 hours on 4/10
- 3.5 hours on 4/11
SchoolInsight will report 5 hours from 4/10 + 3.5 hours from 4/11, for a total of 8.5 hours.
Daily Rate
If the substitute’s wages are entered with a daily rate, we use the default Work Day Hours number from the Human Resources > Time Off Options page to determine how many hours a single day is worth. The default Work Day Hours is usually greater than 5, so a full day would be reported as 5 hours.
Example: Bonnie Jackson works
- 1 full day on 4/12
- 0.5 days on 4/13
If the district’s default Work Day Hours is 7 hours, SchoolInsight will report 5 hours on 4/12 (7 hours, capped at 5) and 3.5 hours on 4/13 (7 hours * 0.5 days), for a total of 8.5 hours.
Non-Substitutes
SchoolInsight Financials does not currently have a way to automatically calculate post-retirement hours for employees working in non-substitute positions. Instead, you will need to manually calculate their hours and enter the correct number on the TRS Gemini website.
If the employee received wages in the pay period, their data will be included in the TRS Gemini File. The preview will show error ER6028: Post-retirement earnings without hours. You should download the file despite the warning.
After uploading the file to Gemini, edit the employee’s record and fill out the Post-Retirement Hours field with the number you calculated.
