External enrollment entries are required in order to log external attendance for students. That is, any portion of the day for which a student attends outside of the home school. Before creating an external enrollment, an admin must first create external schools.
To begin creating an external enrollment, use the following steps:
- Go to Admin Main > Students Single-View
- Search for student
- Edit Student
- Scroll down to the Enrollment Details section and Use the
to create a new enrollment
The image below is a sample to explain how a student’s external enrollment entry might look:
- Home and Serving School
- In this example, the student has one entry to reflect the Home portion of the enrollment (highlighted in yellow) and one entry to reflect the External portion of the enrollment (highlighted in green)
- PDA - Percent Day Attended
- This number reflects the portion (entered as a decimal value) of the total day that the student is in attendance for each enrollment entry.
- In this example, the student attends 70% of the day (or 4.5 hours) at the Home school and 30% of the day (or 2 hours) at the External school
- Max Present Credit
- This number reflects the fraction of the total present credit that a student is able to receive for each enrollment entry. Simultaneous home/external enrollments should have a combined Max Present Credit of 1.
- Minutes at serving school
- Also known as the Default When Present, this number represents the number of minutes the student should be given for fully present attendance at the external school.
- School Time
- The start and end times for each enrollment portion should be entered for both regular and half days if applicable. This value will override the default school time which is set in the school’s attendance options since this student is likely not attending the default time period.
- Calendar
- Take note that overlapping enrollments must use the same academic calendar. Students may only have a single calendar per simultaneous home/external enrollment. The Home portion of the enrollment (0.7) and the External portion of the enrollment (0.3) add up to a single academic year enrollment and must therefore use the same calendar for this academic year.
