Keeping track of employee certification status can be useful for reporting purposes. Each position should be assigned a certified status (Yes or No) by the bookkeeper. If an employee has at least one certified position, the employee is considered certified. If an employee only has non-certified positions, the employee is considered non-certified.
Although the certified status on each position is optional, it is strongly recommended that you assign a status to every position, for reporting purposes. Non-certified positions should explicitly be marked “No” instead of being left blank.
To view and edit the certified status of many positions:
- Go to Financials Main > Human Resources > Employee Positions (multi-view)
- Mass Edit Employee Positions
- Use the Certified column to filter or sort by a specific status. Filter by the blank option to view positions with no status set.
- In the Data to Edit box, choose a Certified status to assign (Yes or No)
- Check the employees/positions that should be assigned that status
- Save
The certification status on positions can also be adjusted for individual employees under the Positions tab in Employee - Single View.
Reports
The certified status is useful for organizing payroll data reports. Depending on the report type, you may be able to add columns that show the Position Certified status and/or the Employee Certified status. This column can be added to the grouping bar in order to calculate subtotals for each status.
For example, a common request is to distinguish how much money was paid in Medicare taxes for certified and non-certified positions. If the report is filtered to show all Medicare items and then grouped by Position Certified, you will see 2 or 3 groupings:
Position Certified: [blank] (Positions that have not been marked Certified or Non-Certified)
Position Certified: Certified (Positions that have been marked Certified)
Position Certified: Non-certified (Positions that have been marked Non-Certified)
If Position Certified: [blank] appears, see the previous instructions for assigning a certified status to every position.
