This guide can be used by schools who are already using the advanced scheduling module but wish to transition from admin-entered course requests to student-entered course requests. If your school does not already use advanced scheduling, contact support@common-goal.com for assistance.
With online course registration, students or parents can log in to TeacherEase to enter their course requests for the upcoming academic year. The registration system uses the academic track assigned to the student in order to predict which courses the student may sign up for.
To transition from admin-controlled course requests to online course registration, complete the following steps:
- Course Management
- Edit / Verify Student Academic Tracks
- Turn Course Requests On
- Enable Scheduling Permissions
Course Management
Since course registration gives more access to students, you'll first need to ensure that only the courses you expect to be available for request are available. The academic track requirements may need to be stricter than when they were entered by an administrator. Even if course registrations require admin approval (recommended), you’ll still want to make sure students are requesting the correct courses.
As you review the academic tracks, consider:
- Before turning access on for students, enter some sample course requests as an admin. See what is available for students in different grade levels and on different academic tracks.
- If any academic tracks have credit requirements for certain subject areas, make sure each course has the correct subject assigned, so only those courses may be used for the requirement.
- Set course prerequisites and corequisites as needed.
- If some courses are no longer offered, deactivate them in the course catalog.
This may take some time depending on your school's courses but please email support@common-goal.com if you have questions about a course.
Edit / Verify Student Academic Tracks
Students must be assigned to the correct academic track so that they can pick from the correct set of courses.
- Go to Admin Main > Scheduling > Academic Tracks
- Assign Students
- On this page, you can view a list of all students in the school with their assigned academic track in parentheses.
- Verify all academic tracks are correctly assigned. If not, assign a different academic track with the following steps:
- Select an academic track under Academic Track to Assign
- Check the box next to the student(s) who require that academic track
- Save
- Repeat the steps if you require multiple academic track changes
Turn Course Requests On
Once the courses and academic tracks are fully reviewed and ready for parent / student access, give parents / students the ability to access course registration in the Parent / Student Portal. Please note, admin cannot use the “GoTo” function to view course registration as a student. A student or parent must be logged in to the system to access course registration.
- Go to Admin Main > Scheduling > Options
- Edit
- Check Parents/students can view course registration and Parents/students can modify course registration
- Optional: Check the boxes to enable additional options
- Save
Enable Scheduling Permissions
Parents / students must have permission to view / access the scheduling module in order to access online course registration.
- Go to Admin Main > Options > Parent Information Access
- Select Edit Parent Information Access
- Check the box next to Classes/Schedules
- Save
