Managing COVID-19 Screening

Schools would like to provide a safe environment for students and employees during the COVID-19 pandemic. SchoolInsight helps schools accomplish this by providing COVID-19 screening. The online questionnaires are a means for employees and parents to certify that employees and students are free of symptoms before entering the school buildings.

There are two components to the COVID-19 screening:

1. Setup
   • Create a COVID-19 screening and questions.
   • Enable the screening on user portals.
2. Daily Work
   • Parents and employees respond to screening questions and receive pass/fail status messages.
   • District employees scan student IDs as students enter the school.

Create a COVID-19 screening and questions

School district admins create the questionnaire that all parents and employees in the district will answer daily. This is a two step process:

1. Create the questionnaire
2. Edit the questionnaire to add questions

Create a COVID-19 screening questionnaire

To create a questionnaire:

1. Go to School District Admin Main > Modules/Tools > COVID-19 Screenings > Questionnaires
2. Create
3. Enter a title
4. Enter a pass message that outlines how to proceed upon passing all questions.
5. Enter a fail message that outlines how to proceed upon failing any of the questions.
6. Save

Add questions to the COVID-19 screening

To add questions to a questionnaire:

1. Go to School District Admin Main > Modules/Tools > COVID-19 Screenings > Questionnaires
2. Edit an existing questionnaire
3. Review existing questions
4. (Optional) Add Question
5. Enter the question’s text
6. Save Changes
7. Back

Enable COVID-19 screening on user portals

Once the questionnaire has been finalized a district admin can make it available on the user portals as follows:

1. Go to School District Admin Main > Modules/Tools > COVID-19 Screenings > Options
2. Edit
3. Check the active option
4. Save

After saving, the COVID-19 screening will be available on the parent and employee portals.

Answering the COVID-19 screening questionnaire

Each morning, parents of in-school learners as well as employees will login to the user portal prior to going to the school. Upon login, the user will be automatically prompted to answer the screening questions. Once the questionnaire is submitted, parents and employees will see either the pass or the fail message, indicating how the person should proceed based on the answers to their questions.

Parent COVID-19 screening workflow

On days when a student should learn at the school, parents will be prompted to fill the COVID-19 screening questionnaire when they login to TeacherEase.

The questionnaire is a set of simple yes or no questions. The parent answers all of them and then saves the form.

After submitting the responses, parents see a Pass or a Fail status message that is written by the school.

Employees COVID-19 screening workflow

Each morning employees should access the employee portal to fill the COVID-19 screening questionnaire.

The employee portal is available to admins and instructors when they click on switch role, and it is the default main page for non-admin and non-instructor staff when they log in to TeacherEase.

The questionnaire is a set of simple yes or no questions. The employee will answer all questions and then save the form.

After submitting the responses, employees will  see a Pass or a Fail status message that is written by the school.

Monitor students entering school

When students enter a school building or a bus, a district employee will access the COVID-19 screening status for each student and follow school policy to usher students in the right direction.

To check a student’s COVID-19 screening status:

1. Go to School District Admin Main > Modules/Tools > COVID-19 Screenings > Scan for COVID-19 Screening Status
2. Search for a student or an employee
   • Type a name or ID number and select the student or employee
   • (Optional) Attach USB scanner and scan SchoolInsight generated barcodes that return student ID
3. View the screening status and answers to the questionnaire

When you receive a status, no response given yet, you can create COVID-19 screening for them.

You may also generate a report with student screening results as follows:

1. Go to School District Admin Main > Modules/Tools > COVID-19 Screenings > COVID-19 Screenings
2. You can filter  any column on this report
3. You can create a screening for any student missing a status
