This article explains how to identify and solve the problem of students who are missing transportation codes. This happens when a student doesn't have a transportation code assigned or when the assigned transportation code effective dates don’t span the entire student enrollment. When the effective dates don’t span the entire school enrollment, a student is effectively without a transportation code for a portion of their enrollment. Enrollment dates without transportation codes aren’t included in the OSDE reports.
It is best practice to check periodically for transportation code issues using the Overall Statistics Report and grouping the results by students and by transportation codes.
To check students with transportation codes problems using the Overall Statistics Report:
- Admin Main > Attendance > Overall Statistics
- Select a Time Frame and other options
- Select Group By
- Student
- Transportation Code
- Generate Report
In the resulting report, the the word Unassigned will be displayed in the Transportation column for any student with missing transportation codes or transportation codes that don’t span the length of a student’s enrollment.
To solve transportation code issues for a student:
- Go to Admin Main > Students - Single-View Beta
- Search for and select the student
- Edit Student
- Scroll down to the Transportation Code
- Make edits
- Save
If the student is missing a transportation code, then you will select it from the drop down and the problem will be resolved.
If the student has transportation code(s), yet still received the unassigned value on the Overall Statistics report, then check the code effective date(s) and compare them to the entry and exit dates from the enrollment details table. Update transportation effective dates or entry/exit dates so that no dates of enrollment are outside the transportation code date span.
In the below example, the student transportation starts on 8/15 but the student enrollment started on 8/14. The student has one day of unassigned attendance. The dates should be aligned so that there are no days where transportation is unaccounted for.
