How do I update Oklahoma Wave student data?

This article explains how to update student data fields that are required for Oklahoma Wave reporting. The Oklahoma State Department of Education (OSDE) requires these student data fields to be reported to the Wave in the StudentPersonal and StudentEnrollment objects.

There are 3 ways to update Oklahoma Wave data for a student. Best practice is to update all known data using options 1 and 2 prior to using option 3. Option 3 is a data validation mechanism that is designed to show you missing and erroneous data after you enter data using the first two options. 

  1. Edit a single student
  2. Mass edit students
  3. Verify Wave/SIF

Edit a Single Student

Editing a single student is typically done after you have recently added a new student or when you discover a few student errors.

To edit a single student:

  1. Go to Main > Student Single View (beta)
  2. Search and select the student
  3. Edit
  4. Set the required data fields
  5. Save

Mass Edit Students

Mass editing allows you to update data fields for many students at the same time. It is highly recommended that you update only one data field at a time so as to avoid making unintended changes to your students. When you need to update multiple data fields for multiple students, use the mass edit feature multiple times, setting the intended data fields and selecting the students that they apply to.

All Wave student data fields can be mass-edited except for the following:

  • Student Number
  • Birth Date
  • Transportation Code (for students who do not currently have a transportation code)
  • Student participation programs

To mass edit student data fields:

  1. Go to Admin Main > Students > Mass Edit 
  2. Scroll through the Data to Edit section to find the data field that you intend to update
  3. Select the correct option for one of the data fields that you intend to update
  4. Scroll down past the data fields to the student listing
  5. Select the students to be updated with the selected data field option 
  6. Save

Note: All data fields with a value entered will be updated on the selected students. Therefore, data fields in the Data to Edit section that are not intended to be updated, should be left blank. 

Verify Wave/SIF

The Wave data validation tool is designed to help find data that is missing or invalid according to Wave rules. It’s best practice to try to complete your data entry via mass editing or single student entry before using the tool.

There are two student Wave objects available for viewing, verifying, and editing data:

  • StudentPersonal
  • StudentEnrollment

To access and update data via the Wave/SIF validation tool:

  1. Go to Main > WAVE/SIF Data > Verify Data
  2. Click on the + left of the StudentPersonal or StudentEnrollment object to expand
  3. To edit a single student click on the edit icon ()
  4. Save
