Throughout the academic year, teachers enter grades in the gradebook. When it comes time to enter report card grades, an admin activates the report card grading period, then teachers enter report card grades.
To enter report card grades as a teacher:
- Go to Instructor > Tools > Report Cards (beta)
- (Optional) Select which Grading Periods you wish to import grades for
- By default, the page will select all active grading periods
- Hover over the class you want to calculate grades for and select the Enter Grades (
) icon. Depending on the grading mode, if multiple grading periods are active, select the
icon to access a drop down and select the relevant grading period
- At this point the teacher has three options for entering report card grades
- (Optional) Enter comments
- Check These report card grades are ready to be printed
- Select Save or Save and Close
You may use one, two, or all three of the report card grades entry methods at different points in the year. For example, when entering report card grades at the end of the first semester you may import grades from the gradebook for Quarter 2, enter grades for the Sem #1 Exam, and then calculate the Sem #1 grade all in one day.
Note: It is important to understand that gradebook grades are separate entities from report card grades. This means that grades may go out of sync. For example, if a teacher imports gradebook grades on the report card then changes grades in the gradebook, the report card grades will not be automatically updated. Likewise, changes made in the report card will not reflect in the gradebook.
Import grades from gradebook
This is the most commonly used method for teachers who keep track of assignments throughout the year on the Scores and Comments or Standards-based Scores gradebook. At the end of a grading period, these grades can be imported into the report card. This page will look slightly different dependent on your grading scale and report card item list
To import a class’s grades to the report card:
- (Traditional grades only) Click on the button Mass Calculate Grades
- (all other grading options) Click on the button Import Grades from Gradebook
- (traditional grades only) If multiple grading periods are listed, select which ones to import
- Review the options. Depending on the class, you may be asked whether you want to import traditional or standards-based scores, or whether you want to import grades for inactive students.
- (Traditional grades only) Calculate
- Save
- Review the imported grades
- (Optional) Make changes to any report card grades
- Save & Close
Enter grades
This is the manual grades entry method. It is used where grades are not recorded in the gradebook, or after importing grades from the gradebook to review and update them.
To manually enter grades for a class, simply type in a score, select a grade, or choose a special grade code for each student.
If many students have the same grade, you can mass edit the grades for many students at once:
- Click Mass Enter Grades/Comments
- Set the Grading Period
- Set the Assessment
- Enter a Grade or Special Grade Code
- Select which students should be affected by this change
- Set
- Make changes for individual students with a different grade
Calculate summary grades
If your school is using the mode Grades are calculated from previous report card grades, then Sem #1, Sem #2, and Final grades may not be imported directly from the gradebook. Instead, you need to calculate the average by weighting previous report card grades.
Weighting determines the proportional worth of each grading period. A typical weight for a Sem #1 grade would be:
- Q1: 40
- Q2: 40
- Sem #1 Exam: 20
If you use custom weights different from the ones set on the school, you will want to follow the steps below. Otherwise the steps are identical to the steps located in the section import grades from gradebook.
To calculate summary grades using custom weights:
- Go to Instructor > Tools > Report Cards
- Click on classes (or Subjects) next to the grading period you are working on
- Click on enter grades next to a class
- Click on Calculate Average
- Review the weights for each grading period and make changes if necessary.
- Decide whether you want to calculate an average for inactive students (students who have exited the class)
- Preview
- Review the calculated averages
- Save
- (Optional) Enter comments
- Check These report card grades are ready to be printed
- Save
