SchoolInsight has the ability to generate and/or verify unique student numbers, ensuring that no two students end up with the same student number.
There are three modes available for use:
Auto-Generate Numbers
Auto-Generate Numbers allows you to set rules such that the system can automatically assign a student number to new students on creation, verify existing student numbers are unique, and generate numbers for any that are blank or duplicates.
To have the system auto-generate student and employee numbers:
- Go to District Main > Options > Unique Student Numbers
- Edit Unique Student / Employee Numbers
- Select Auto-Generate Numbers
- Enter a student number Starting Value
- Choose whether to use graduating class as prefix for the student numbers
- Select the final grade level for each building (to be used in calculating graduation class)
- Select the first academic year for which unique numbers are to be used
- Enter the desired number of digits for student and employee numbers
- If using graduating class as a prefix, numbers must be a minimum of 7 digits
- Save
- Auto-assign blank and invalid length numbers or Auto-assign all student/employee numbers
Use State Number
Use State Number merges the student and state number fields into one, such that both use the same number, which the system will then verify as unique. If a different student number and state number are both already entered, you will choose which of two numbers is kept to populate both fields. This option does require that the number of digits for the student number be set to match the number of digits in the state number.
To use state numbers as student numbers:
- Go to District Main > Options > Unique Student Numbers
- Edit Unique Student / Employee Numbers
- Select Use State Number
- Select the first academic year for which unique numbers are to be used
- Enter the desired number of digits for student and employee numbers
- For IL, student and employee state numbers are 9 digits
- For MO, student state numbers are 10 digits
- For OK, student state numbers are 10 digits
- Save
- If existing student numbers don’t match the state numbers, select the number you’d like to use
- Save
User Created Numbers
User Created Numbers allow users to input student numbers of their desired length, and will verify that each number is unique. In this mode, a marker will be shown verifying an entered student number as unique, displaying a green checkmark if verified, and a red X if the number is not enough characters in length or is not unique.
To use user created student numbers:
- Go to District Main > Options > Unique Student Numbers
- Edit Unique Student / Employee Numbers
- Select User Created Numbers
- Select the first academic year for which unique numbers are to be used
- Enter the desired number of digits for student and employee numbers
- Save
- Enter IDs for any students or employees who have none or have duplicate numbers
- Save
