Why can't a contact see online registration?

If contacts are having trouble viewing online registration, there are several potential causes. You can check the following areas to pinpoint what is causing the problem for that parent.

Online registration is not turned on
Email address is linked to a student account
Contact permissions need updating
Student does not exist in the right academic year

Online registration is not turned on

If you are getting many complaints about being unable to access online registration, you will want to verify that online registration is enabled.

To check that online registration is turned on:

  1. Go to (School District) Admin Main > Online Registration > Options
  2. Edit
  3. Set Use Online Registration to “Yes”
  4. Set the Online Registration Start Date and the Online Registration End Date, making sure the current date falls in between the two
  5. Save

Email address is linked to a student account

One of the most common problems is that the contact email address has been added to the student instead of (or in addition to) the contact. Student accounts cannot access online registration, so the email address must be removed from all students.

To check what roles an email address is associated with:

  1. Go to (School District) Admin Main > Communications > Email Address Search
  2. Enter the email address that the contact is using to log in
  3. Search

To remove the email address from a student account:

  1. Go to (School District) Admin Main > Students - Single View
  2. Look up the student
  3. In the General tab, find the Email Address field and click delete (not edit)
  4. Delete
  5. Go to the Contacts/Family tab and make sure the email address is added to the contact

Contact permissions need updating

In order to access online registration, the contact must be listed as a Custodial Parent/Guardian and must have Web/Records Access permission. If someone is unable to access online registration, check their permissions. They may have intentionally been listed as an Emergency Contact or shouldn’t have permission to view the student’s information online.

If you have confirmed that the contact should be listed as a custodial parent/guardian with web access, you can update their permissions.

To update contact permissions:

  1. Go to (School District) Admin Main > Students - Single View
  2. Look up the student
  3. Go to the Contacts/Family tab
  4. edit the contact
  5. Set the Custodial Status to “Custodial Parent/Guardian”
  6. Check Web/Records Access
  7. Save

Student does not exist in the right academic year

If you are opening registration for a future academic year, the students must be promoted to that academic year. Even if the current year has not finished, you can still promote the student to the next year.
