How do I import attendance to TeacherEase?

If attendance is tracked outside of TeacherEase/SchoolInsight, you can import that attendance data into TeacherEase to be displayed on the report card. Absences, Tardies, and Presences may be imported and displayed on the report card.

The vast majority of schools should use the Import Aggregate Totals option. This file will have a single line for each student and columns showing that students’ total number of each attendance code. A few schools may use the Import Daily Attendance option, which uses a single line for each instance of an absences or tardy.

The file needs to include a student ID (Student Number, Student External ID, Student External Ref ID, or Student Internal ID) and a column for each type of attendance code that is tracked. The attendance code columns should show the total number of days that the student had that attendance code. If importing for the entire district, the file also needs a column for the School Description or School External ID.

To import the file:

  1. Go to (School District) Admin Main > Import/Export > Import Report Card Attendance
    • If at the School District Admin Main, select the file type Aggregate Totals
    • If at the School District Admin Main, select whether you are importing attendance for the entire district or just one school
  2. Select the Report Card and grading period
  3. Choose a CSV file from your desktop
  4. Import
  5. Match each column in the file to a field in SchoolInsight
  6. Preview the import and verify there are no errors
  7. Import

Import Individual Daily Attendance

Some schools will import individual days of attendance instead of a total for each student. This mode can only be used when the report card is managed by the school district. It can only show absences and tardies, not presences.

The file must be a CSV, formatted as follows, and it should only include days in which students are absent or tardy. If you don’t wish to show tardies on the report card, you can omit the final column.

The file must include every absence and tardy. Students not in the file will have any prior attendance data overwritten with 0 absences and 0 tardies.

To import the file:

  1. Go to School District Admin Main > Import/Export > Import Report Card Attendance
  2. Choose the file type Daily Attendance
  3. To save time and make sure that previous grading periods are not changed, check “Skip inactive grading periods”
  4. Choose a file from your desktop
  5. Click Import to preview the file. This may take several minutes.
  6. Review the information to make sure there are no errors and Import
