This article explains how Oklahoma school admins can set the calendar date type on the academic calendar in SchoolInsight so that professional and parent/teacher conference days are reported properly to the WAVE.
Professional Days
Professional days can be reported as either a “full day in service” or as a “teacher institute day”. To properly identify professional days on the calendar:
- Go to (District) Admin Main > Academic Calendars > view
- edit the specific month
- Scroll to the desired dates
- Set the Attendance Code as
- FI-Full Day Inservice or
- TI-Teacher Institute
- Select Report as
- 01-Professional
- Save
Parent/Teacher Conference Days
Schools can claim up to 360 minutes per semester as parent/teacher conference time. This includes parent/teacher conference days that are held during the day as well as those that are scheduled outside of the regular school day. Schools can use either “full day in service” or “teacher institute day” codes for parent/teacher conference dates. Additionally, schools will further define the parent/teacher dates by
- Selecting an “other” code of 02-Parent/Teacher Conference
- Reporting daily instructional minutes
Before updating the calendar for parent/teacher conference days, calculate your regular day daily instructional minutes.
To enter your parent/teacher conference date into the calendar:
- Go to (District) Admin Main > Academic Calendars > view
- edit the specific month
- Scroll to the desired dates
- Set the Attendance Code as
- FI-Full Day Inservice or
- TI-Teacher Institute
- Select Report as
- 02-Parent/Teacher Conference
- Enter the number of Daily Instructional Minutes
- Save
Reporting Off Hours Parent/Teacher Conference Days
The OSDE allows schools to report parent/teacher conference days, even when parent/teacher conferences are not scheduled during the school day. In this case, you'll report the next holiday or non-weekend day off after the parent/teacher conference day, as your parent/teacher conference day. To do this, set the actual parent/teacher conference date as a regular day of attendance and follow these instructions to adjust your calendar date settings for the next upcoming holiday or non-weekend day off.
Regular Day Daily Instructional Minutes
Daily Instructional Minutes = Number of minutes that occur between the regular daily start time and end time - lunch minutes. However, the maximum number of daily instructional minutes that can be claimed for a parent/teacher conference day is 360, regardless of your calculated daily instructional minutes. Therefore, if regular daily instructional minutes are greater than 360, enter 360 for a parent/teacher conference date. Otherwise, leave the entry blank and SchoolInsight will calculate it for you.
