How do I preserve scores when students transfer between classes?

During the school year students may transfer from one class/section to another. Student performance, in all classes throughout the year, needs to be preserved and reflected in their total scores. This article outlines how to use the different methods provided by SchoolInsight to preserve student grades for both traditional and standards-based grades.

For traditional grades SchoolInsight provides a transfer average and weighting mechanism that allows both current and previous work to contribute to class averages. For standard-based grading SchoolInsight will preserve a history of all standards-based scores for each learning target. Previous SB scores are merged into the grading data for the new class. Transferring either traditional or standards-based grades can be accomplished while transferring a student to another class/section, or it can be done after the student transfer is complete. Grade transfers can be done from either the student’s schedule or their roster.

First, we’ll cover the process for using transfer averages for traditional grades.

To adjust a transfer average from a student’s schedule while transferring them:

  1. Go to Main > Students - Single View
  2. Search for the student that is transferring
  3. Click the Scheduling tab
  4. Click the down arrow for the class from which they are transferring (in graphical Mode)
  5. Select Drop/Add
  6. If your school uses Advanced Scheduling, set Mode to Manual
  7. In the Exiting Info section, enter the student’s Exit date for the dropped class
  8. Check the box to Transfer grades to the new section
  9. In the Choose Data to Transfer section confirm that Transfer Traditional Grades is checked
  10. Enter average score(s) for the corresponding grading period(s)
  11. Enter a weight that each average score should contribute to the total score in the new class/section once the transfer is complete
  12. Check Add to Roster to the left of their new class/section
  13. Provide their Entry date for the added class
  14. Save

To adjust a transfer average from a student’s roster while transferring them:

  1. Go to Main > Students - Single View
  2. Search for the student that is transferring
  3. Click the Scheduling > Rosters, or just Rosters
  4. Select transfer out to the far right of the class from with they are transferring
  5. Enter the student’s last day in the previous class
  6. In the Transfer Grades section confirm that Transfer Grades > Transfer Traditional Grades is checked
  7. Enter average score(s) for the corresponding grading period(s)
  8. Enter a weight that each average score should contribute to the total score in the new class/section once the transfer is complete
  9. Transfer

To adjust a student’s transfer average after the student was transferred:

  1. Go to Main > Students - Single View
  2. Search for the student whose transfer averages you want to adjust
  3. Go to Scheduling tab > Rosters link > Transfer Averages
  4. Enter average scores and weights for each section and grading period that apply
  5. Save

Next, we’ll cover the process for using grade transfer for standards-based grades.

To transfer SB grades from a student’s schedule while transferring them:

  1. Go to Main > Students - Single View
  2. Search for the student that is transferring
  3. Click the Scheduling tab
  4. Click the down arrow for the class from which they are transferring (in graphical Mode)
  5. Select Drop/Add

To copy a student’s SB transfer grades from a previous class into the current class, after the student has been transferred:

  1. Go to Main > Students - Single View
  2. Search for the student whose transfer grades you want to find
  3. Click the Scheduling tab
  4. Click the down arrow for the class from which they are transferring (in graphical Mode)
  5. Select Get Transfer Grades
  6. Select the Class to get the transferred grades from
  7. Save
