Sometimes students may be retained in their current grade level, rather than being promoted to the next grade, at the end of a school year. Additionally, a student may get promoted at the end of the year that should have been retained in the next academic year. This article will cover how to handle both ways of retaining students.
To retain students in their current grade level for the next academic year:
(Typically done at the end of the current academic year)
- Goto Main > Students Multi-View > Promote/Transfer Students
- Select Promote/Retain students within a building
- Confirm that the Current Academic Year and Next Academic Year values are correct
- Use the dropdown arrow for Next Grade Level and select Keep the Same Grade Level
- In the Students to Promote section, check the boxes to the left of the student(s) that will be retained
- Click Promote Students
A single or multiple students can be retained after they were already promoted to the next academic year. This is typically done at the beginning of the new academic year by editing or mass editing the student(s) grade level.
To retain a single student that was already promoted to the next academic year:
- Goto Main > Students - Single View
- Search for a student
- Confirm that the Academic Year is set to the new year in which the student should be retained
- Click Edit Student
- In the Yearly Enrollment Info section, click the down arrow to the right of Grade Level and select the correct grade level for the student
- Click Save
To retain multiple students that were already promoted to the next academic year:
- Goto Main > Students - Multi View
- Confirm that the Academic Year is set to the correct academic year
- Click Mass Edit
- Select a Grade Level from the dropdown box at the top of the page
- In the Data to Edit section, select the Grade Level where the students will be retained
- In the Students to Edit section, check the box to the left of the students to be retained
- Click Save
