This article goes over how to create and run truancy thresholds. Truancy thresholds allow you to view chronically absent or tardy students and to log disciplinary actions for them. The feature also allows for admins to communicate the information with parents via letter or email.
Managing truancy thresholds involves three parts:
Set Up Truancy Thresholds
Truancy thresholds must be set up in order to determine when action needs to be taken regarding chronic truancy. After a threshold has been met/exceeded, any assigned action can be taken automatically and logged. Once a threshold has been logged, it will not be repeated for that student.
To create a truancy threshold:
- Go to School Main > Attendance > Truancy Thresholds
- Create Truancy Threshold
- Enter a Description for the threshold. Make sure the threshold is unique (EX: Weekly Tardy Limit (5)) so that it is easy to tell what the threshold represents
- Set the Time frame the threshold looks at
- Configure the Number of Absences/Tardies within Time Frame
- In the left box, select the type of attendance
- To the right box, set a threshold value
- If your threshold excludes excused absences/tardies, check Exclude Excused
- Determine the type of attendance to Find Absences/Tardies in
- (Optional) Set the Action to take when threshold is reached
- If your school uses the discipline module, you may create a disciplinary action after the threshold is surpassed. Additionally, you may notify parents about the action via printed letter or email with a predefined letter template.
- Save
Log Truancy Thresholds
Once thresholds are created, you can check student attendance information against your established truancy thresholds as well as elect to take the assigned action, which may be a discipline incident, parent contact, or both.
To check truancy thresholds:
- Go to School Main > Attendance > Truancy Threshold Logs
- Check Truancy Thresholds
- Select which Grade Level(s) and Truancy Threshold(s) to check for at this time
- (Optional) Choose to Show students that have been previously logged for the truancy threshold
- Generate Preview of Actions
At this stage, you can elect which action you’d like to take for each threshold surpassed. “Action” here refers to all actions associated with the threshold. For example, if my threshold check includes both a discipline incident and a parent email, both will be triggered if I decide to take action.
We recommend that you log all threshold checks. This way, you don’t lose track of important information you’ve collected for truancy thresholds in the past.
There are three options to choose from:
- No Action (and do not log)
- Take Action and Log
- Skip Action but Still Log
After making a decision for each threshold surpassed, select Continue & Save.
Review Truancy Threshold Logs
After threshold checks are logged, you may review them as well as any actions that were taken. The same threshold cannot be logged more than once for a student.
To check truancy threshold logs:
- Go to School Main > Attendance > Truancy Threshold Logs
- Select a Mode to search by Student, Grade Level, or Date
- Select a specific Truancy Threshold to view or view all
