In Oklahoma, all students engaging in co-curricular activity programs must pass the OSSAA scholastic eligibility standards. The scholastic eligibility for students will be checked after 3 weeks of a semester and succeeding weeks thereafter. Schools may choose to run eligibility checks on any day of the week.
The Oklahoma Gradebook Eligibility report in SchoolInsight is built to meet the OSSAA scholastic eligibility standards, allowing comparisons of the student’s current week’s grades to the prior week. Therefore, admins should ensure that all instructor grades are current before running this report. When running eligibility, it is best practice to first preview the data, make corrections and updates if needed, and then generate a saved report
The First Time Generating the Report
The first week you use the tool, you'll save a report of student grades below a threshold. In later weeks, "current" week data is compared to the prior selected week grade data to determine a student's status of "ineligible" or "probation."
To generate a preview report for the first time:
- Go to School Main > Grade Reporting > Gradebook Eligibility
- Select Preview this week, but don't save a report
- Set Who to Show to All Students
- Set Status to Ineligible and Probation
- Generate
After previewing the report, make needed corrections and repeat the above steps, selecting the option to generate a saved report. This step is important because a saved report is needed for the following week's comparison.
To generate a saved report for the first time:
- Go to School Main > Grade Reporting > Gradebook Eligibility
- Set This Week to Generate this week's saved report
- Set Who to Show to All Students
- Set Status to Ineligible and Probation
- Generate
Generating the Gradebook Eligibility Report After the First Week
Going forward, you will continue the same process, however, you will add the step of selecting the prior week that you wish to compare to.
- Go to School Main > Reports > Gradebook Eligibility
- Set This Week to Generate this week's saved report
- For Last Week select a week to compare your data to
- Set Who to Show to All Students
- Set Status to Ineligible and Probation
- Generate
Eligibility status will be calculated after the first week. Students are on probation the first week if their grades are below the eligibility threshold and are ineligible if they continue to be below the threshold in the following week.
If you accidentally save a report use the “Delete Saved Reports” button at the bottom of the options page: This option allows you to view and / or delete prior saved reports. Once reports are deleted, they cannot be restored or reproduced without Ops intervention.
