In this article, we will discuss the process of setting up health records’ immunizations in SchoolInsight. This includes setting up the following:
- Diseases you would like to track immunizations for.
- Immunization Types are categories of immunizations that will be tracked.
- Dosage Tracks represent sets of shots a student takes to be immune for each immunization type.
Diseases
SchoolInsight Health Records is pre-populated with common diseases, but you may want to review the list to add or deactivate diseases.
To create a disease:
- Go To School Main > Health Records > Diseases
- Create Disease
- Enter the Description
- (Optional) Check Required checkbox if immunization is required by the state or if you wish to track how many students are unprotected and in non-compliance on your reports
- (Optional) Mark if this disease is tracked for one or all genders
- (Optional) Choose how the disease is sorted
- Save
If you created an incorrect disease and need to remove it, you can choose to delete it. Once a disease has been assigned to a immunization type, it cannot be removed.
To delete a disease:
- Go To School Main > Health Records > Disease
- Select Delete on the desired disease
- Delete
Immunizations Types
SchoolInsight Health Records is pre-populated with Immunization Types for common diseases. Each type defines the diseases it provides immunity for, and includes shots dosage tracks a student may receive to become immune.
To create an immunization Type:
- Go To School Main > Health Records > Immunization Types
- Create Immunization Type
- Enter a description
- (Optional) Set required to Yes to track non-compliance on the immunization entry page and reports
- (Optional) Check ignores disease immunity if getting the disease does not provide immunity. For example, keep unchecked for Chickenpox, because students that had Chickenpox are immune and do not need the vaccine
- (Optional) Sort the immunization type
- Mark what disease the immunization type is tied to
- If the immunization is tied to multiple diseases, select the plus icon (
) on the right side to add additional rows

If you need to update an immunization, you can edit it. Once an immunization has been used, we discourage making changes, as it will change all past immunization records in your system. We would instead advise making the immunization inactive and creating a new immunization for future use.
To update an immunization:
- Go To School Main > Health Records > Immunization Types
- Select Edit on the Immunization
- (Optional) Update the description
- (Optional) Update the Active Status
- (Optional) Update the configurable fields
- Save
Dosage Tracks
Once the immunization has been created, we can start entering the dosage tracks. Dosage tracks are used to determine how many doses a student needs to be immune to a disease, along with the requirements for each dose to be valid. One thing to note is that dosage track compliance is very strict. For example, if a student got a dose 25 days after their last dose, but the requirement is 26 days, they will be marked not in compliance.
To create a dosage track:
- Go To School Main > Health Records > Immunization Types
- Configure the Dosage track fields
- Description: The name used to describe this track. A name typically represents when the dosage is given, along with how many doses
- Grade levels: Only grade levels within the range selected will be considered for this dosage track
- (Optional) Applicable if student exceeds max grade level, and no other tracks are applicable: select to have this dosage track be considered if the student matches no other tracks
- (Optional) Valid years: Only students born within this time frame are considered for this dosage track. If this is left blank, it is assumed to be valid for all years.
- (Optional) Minimum Age: Select the minimum age a student must be to be considered for this track. This prevents students who are under the age from being checked for compliance on this track.
- Fill out a row on the dosage track:
- (if not first dosage) days from previous dose: How many days need to be between the previous and current dose of an immunization for a student to be in compliance
- Min age and max age: The age range a student must be when they received the dose to be in compliance with this dosage track
- Booster: A booster is a dose given at a specific grade level, typically after the initial dosage series. A booster shot will not be considered against a student's compliance before the student has reached the specified grade level.
- To add additional rows to the dosage track, select the Plus (
) icon
- Save
If you need to update a dosage track, you can edit it. Once a disease, immunization, or dosage track has been used, we discourage making changes, as it will change the compliance on all past immunization records in your system. We would instead advise adjusting the valid years on the existing dosage track, and creating a new dosage track.
To update a dosage track:
- Go To School Main > Health Records > Immunizations
- Select Dosage Tracks on the desired Immunizations
- Select Edit on the dosage track
- (Optional) Update the valid years
- (Optional) Update configurable fields
- Save
