Because employee data is shared between SchoolInsight SIS and SchoolInsight Financials, it’s important to ensure that the right people have access to that data. Typically, the HR/Finance system is the authoritative source of employee data, so SIS users should be able to access/export the data they need, but should not be able to make changes or view certain sensitive pieces of data.
Of course, SIS admins with the necessary permissions can always add and modify SIS-related user roles (such as Instructor, School Admin, and School District Admin) to existing employees. However, the creation of new employees and editing of their personal data should generally be left to Financials Users only.
There are two settings pertaining to employee management, both of which can be found at Financials Main > Setup > General Settings:
- Can SIS Admins view sensitive employee data?
- Can SIS Admins modify employees?
Below you will find the four different combinations you can set the SIS Admin settings to. The table in the attached PDF outlines in detail what employee data becomes viewable/editable based on your settings choice.
- When both options are set to No, the least amount of information is available to the SIS Admin. This is the RECOMMENDED setting. By restricting who can create new employees, your district will be much less likely to end up with duplicate records for the same employee. It also grants more freedom to create SIS Admins without worrying whether they have access to too much private information about employees.
- When View is set to No and Modify is set to Yes, the amount of data SIS Admins can see is restricted, but they can edit the data that they do see (e.g. create new employees, edit employee names).
- When View is set to Yes and Modify is set to No, SIS Admins can view a lot of employee data, but they cannot edit employee data or create new employees.
- When both options are set to Yes, the maximum amount of information is available to the SIS Admin to both view and edit. Some information, like W-4s, direct deposit information, and payroll details, is still only available to Financial Users.
