This article explains how admins and instructors use the Gradebook Eligibility report to find students with failing gradebook grades. The report allows the user to view student scores at or below a specific threshold. It is often used to check if a student is eligible for sports, activities, etc.
To generate a gradebook eligibility report as an admin or instructor:
- Go to Admin Main > Grade Reporting > Gradebook - Eligibility
- Go to Instructor Main > Gradebook > Reports > Check eligibility
- Time Frame: The report can return results from a single grading period, for example, from Q2 only, or it can combine grades from multiple grading periods. Further details are provided below.
- Single Grading Period
- (Optional) Calculate Using GPA allows using GPA instead of gradebook grades to determine eligibility. Please recalculate GPA before using this option. For details read this article: How do I calculate GPA.
- Running total for multiple grading periods
- If no weights are selected, the student’s grade is determined by adding the total point value earned by the student divided by the total possible points.
- (Traditional Scores Only) Assign a weight to each grading period to calculate a weighted average overall grade. For example, you can set weights as displayed in the screenshot below.
- Date Range: Select a start and end date.
- Single Grading Period
- Who to show:
- Admin can select all grade levels, a specific grade level, a homeroom, a group, or all students.
- Instructors can only select from their classes or groups.
- Threshold: Select a threshold type.
- Traditional Based Eligibility: Select the grading scale and score value. The report will return students with a grade at or below the selected grade.
- If a class doesn’t have the selected letter grade, use minimum percentage instead. Useful when different grading scales are assigned to different courses. When selected, the minimum percentage is checked across all grading scales. For example, If you would like to view all students with a 60% or lower, selecting this option will check for the equivalent percentage of 60% on all percentage based grading scales.
- Standards Based Eligibility: Enter a point value based on your standards based grading scale. If no overall grade is selected on the grading scale, then the system will calculate the eligibility score determined by the algorithm set on the grading scale or by the Roll Up Score.
- Sort By: Select how you want your report to be sorted
- Choose the desired options and output format
- Generate Report
