Discipline Incidents are used to record any incidents that occur in your school. Discipline incidents can be created by administrators with the modify permission on discipline, admin with the create only discipline incident permission, or by any instructor.

Creating a discipline incident
While both instructors and admin can create a discipline incident, it should be noted that the instructions below are from the perspective of an admin. Some things may be missing from the instructor page.
To create a discipline incident:
- Go To District or School Main > Discipline > Discipline Incidents
- (District Level Only) Select which school to view
- Create Incident

Fill out fields with discipline incident information. Fields with an asterisk (*) are required:
- Incident Date: The day and time the incident took place
- Behavior observed and referred by: This allows you to enter which employee observed the incident. This is often used in cases when the person who witnessed the behavior is someone with an employee only account on TeacherEase, such as the janitor who saw a fight in the hall, since they do not have the ability to report such an incident themselves
- Incident type: Select the type of incident from the drop down. For information on managing incident type, please look at this article
- Incident considered Harassment or Bullying: (Used for CRDC reporting) If yes another dropdown, reason for harassment, will appear. It is prepopulated with CRDC values that cannot be changed or modified. If the option you are looking for is not on the list, set the field to no
- Location: This indicates the location the incident took place. For more information on managing locations, please look at this article
- Weapon Type: If the incident involved a weapon, enter the weapon type here, or enter none
- (Admin only) Assign to: Choose a discipline admin to assign this incident to
- Send email to all discipline admins: choose if all discipline admins will get notified when this incident is created

Enter in any long form comments about the incident in the following three fields:
- Description of behavior: Enter in a description of the behavior witnessed during the incident
- Previously attempted interventions: Enter in information from previous incidents that may be relevant
- (Admin Only) Administrator comments: A location for administration to enter any additional info on the incident that is worth having on record
- Enter in information about the students involved in the incident
- Add the students role in the incident
- Add the name of the student

Add an action: Add information related to the action being taken for a particular student in regards to the incident. If configured under discipline options, instructors can also add actions that have been set to be available for instructors. For more information on configuring options, please look at this article
- Action: add the action being taken. For more information on managing action types, please refer to this article
- Start Date: Enter in the first day the action takes place
- Duration: Enter how long the action will last for. We recommend not leaving this blank, and a discipline notification will not display a return date unless this field has a value
- End date: This field refers to the return date of the student. Only fill this value in if not using the duration field
- Zero Tolerance: Enter in if this is due to zero tolerance
- Law enforcement notification: Enter in if law enforcement was notified
- Arrested: Enter if the student was arrested
- Alternative Education: Enter if the student is receiving alternative education as a result of the action
- Add
- (Admin Only) Public notes: add any notes you want visible to parents
- Add Student: add an additional student to the discipline incident
- Choose if the incident is active
- (Admin only) Indicate if instructors can edit this incident
- If just creating the incident, Save. If you plan to immediately notify, save and notify
Sending a discipline notification
For admins looking to notify parents and other potential administrators about a discipline incident, they can do so using the notify button. Unlike creating a discipline incident, instructors do not have the ability to notify parents about a discipline incident by default. It is a setting that must be configured under the discipline options. For more information on configuring the options, please look at the following article.
To send a discipline incident:
- Go to District or School Main > Discipline > Discipline Incidents
- (District Level Only) Select which school to view

Find the discipline incident you wish to send a notification for via two different modes
- Date:search for the discipline incident within a selected date range
- Student: Search for the student who you want to send a discipline notification for
- Select the notify button on the right side of the desired incident
- Review the details about the incident

Choose how the discipline notification is sent
- Publish to Student/Parent Portal: If your parent information access is set to allow parents to view discipline incidents, selecting this will publish the incident on the portal
- Printable Letter: create a printable letter based on a discipline incident message template, as well as decide the date of the letter, if it includes the school header, and how many letters should be on a page. - Email: Create an email based on a discipline incident message template, and choose whether to generate a preview of the email, or just send the email. For more information on managing discipline message templates, please look at this article
- Mailing Label: Generate a mailing label for the address of the contact being notified
- Envelopes: Generate a page used for printing an address on an envelope
- Choose who receives the notification. This can include the referring instructor, any disciplinary contacts for the student, and any discipline admin in the system.
- Choose to mark the incident as notified. Doing so will cause a symbol to appear next to the incident on the discipline incident page indicating that a notification has been sent for this discipline incident
- Choose any additional info to display on the option
- Generate
