What should I do when I see the message that my number of licenses is exceeded?

 

Licenses for admins, instructors, and students, are managed on your subscription order form.   When you create an admin, instructor, or student that causes your number of active users to exceed number of licenses on the order form, the program will display a message letting you know.

Your subscription is flexible and will allow you to continue to create admins, instructors, and students, even though you have exceeded your order form quantity.  During the academic year (currently January and October), the program will assess the number of active licenses being used in the program and will send an invoice for the difference between that number and the number licenses on the order form.

To avoid being charged for more licenses than you need, make sure that you mark admins, instructors, and students as inactive when they are no longer enrolled or using the program.  

To manage the active status of admins, instructors, and students:

District Admins 

  • District Admin Main > District Admins and locate the admin in question
  • edit
  • Change the active data field to No
  • Save

School Admins 

  • School Admin Main > Admins and locate the admin in question
  • edit
  • Change the active data field to No
  • Save

Instructors 

  • School Admin Main > Instructors and locate the instructor in question
  • edit
  • Change the active data field to No
  • Save 

Students who exited after the first day of school

  • School Admin Main > Student Single View and locate the student in question
  • Edit
  • Enter the date that the student exited into the exit date field
  • Save
