How do I handle the transition between grading periods?

This article focuses on managing grading period statuses for the purpose of transitioning between grading periods. Grading period statuses control access to information within a grading period timeframe and are used to ensure that teachers and admins can access and update data as needed.  Grading period statuses also protect data from being updated after a grading period has passed and can be used to filter admin, instructor, student, and parent content so that only current data is displayed, or so that data that is not current can be filtered out.

There are two grading period statuses:

  • Active
    • Admins and instructors can access and update data 
    • Parents and students can view data in the parent/student portal
    • Students can complete online assignments.
  • Closed
    • Admins and instructors can view data, however, data cannot be updated or deleted
    • Parents and students cannot view grading period data unless parent information access settings allow access to closed grading periods

To transition from one grading period to the next, it is necessary to activate the upcoming grading period and to close the prior grading period.  Marking a future grading period active may be done before the start of the upcoming grading period as well as in advance of closing the prior grading period. 

To make a grading period active:

  1. Admin Main > Grading Periods 
  2. edit the upcoming grading period
    • Active: Yes
    • Update active status of classes/sections too:  Checked
    • Create news feed item for instructors:  Checked when it is necessary to notify instructors that the grading period is active
  3. Save

To close a grading period:

  1. Admin Main > Grading Periods 
  2. edit the prior grading period
    • Active: No
    • Update active status of classes/sections too:  Checked
    • Create news feed item for instructors:  Checked when it is necessary to notify instructors that the grading period is closed
  3. Save

Most likely, there will be two grading periods active for a short period of time.  This is because it is common for teachers to need access to a grading period before it starts and it is also common for teachers to need to continue to enter data in a current or recently ended grading period.
