This article explains how to update grading period status in SchoolInsight, and what are the best practices while doing so. To open or close a grading period you need to set its status to active or close, respectively. These statuses control accessibility to view and change data in SchoolInsight as follows:
Grading Period Status | Accessibility |
Active |
Admins and instructors can access and update data Parents and students can view data in the parent/student portal Students can complete online assignments |
Closed |
Admins and instructors can view data; however, data cannot be updated or deleted Parents and students cannot view grading period data unless parent information access settings allow access to closed grading periods |
It is possible to allow parents to view data in closed grading periods as follows:
- Go to School Main > Options > Parent Information Access
- Edit
- Check Inactive Data
- Save
It is best practice to keep the current grading period active, and close the rest. This eliminates data entry to other grading periods by mistake. On the other hand, activate the next grading period a week or more before it starts. This gives teachers the opportunity to plan ahead. Finally, keep the previous grading period active a week or two into the next grading period to give teachers enough time to complete data entry for it.
To open or close grading periods:
- Go to Main > Grading Periods
- Hover over the desired grading period and select the Edit icon ()
- Update the Status to active to open the grading period, or closed to close it
- Save
Make sure to keep the box checked to update the status of classes and sections. Doing so will push the change down to the class level.
