Year-end tax forms, such as W-2s, W-3s, 1099s, and 1096s, can be generated in SchoolInsight Financials. This article will explain under which circumstances you must purchase pre-printed forms, and under which circumstances you may print them onto blank paper.
SchoolInsight Financials does not sell pre-printed forms, but does support the standard form sizes that can be ordered from the IRS or purchased from retail vendors.
E-Filing
If you e-file W-2s through SSA Business Services Online (BSO) and 1099s through the IRS’s FIRE system, you do not need to purchase pre-printed forms. Instead, you can use the “Blank Paper” option to print employee/contractor copies onto blank 8.5” x 11” paper with an ordinary printer or let employees opt in to electronic delivery through the Employee Portal.
To set up e-filing, go to Financials Main > Settings > Tax Form Settings and enter the district’s BSO User ID and/or Transmitter Control Code.
However, the Blank Paper option does not print instructions on the back of the copies. If that is important to your district, you should purchase pre-printed forms.
Paper Filing
If your district does not e-file W-2s and 1099s, you will need to purchase tax forms. This is because Copy A must be printed on a special OCR-readable shade of red ink that an ordinary office printer won’t be able to produce. Therefore, employers are not permitted to print their own Copy A forms, and must instead purchase them or order them from the IRS, if not e-filing.
The copies sent to employees/contractors may be printed onto your pre-printed stock, printed on blank 8.5”x11” paper, or made available through the Employee Portal.
