This guide is meant for the first time setup of the SchoolInsight Locker Tool. If you have already set up Lockers and are looking for information on managing your existing locker setup, please look at this article. Alternatively, if you are looking for information on how to roll over lockers for the next academic year, please look at our locker rollover article.
In this guide, we will go through the recommended order of setup, while providing alternatives to meet specific needs. Admins will first need to configure options, create their locker groups, then create or import their schools’ lockers and locker combinations in order for the lockers to be ready for student assignment.
This article will cover:
Locker Options
The first step in the setup process is to configure your locker options. Locker management is disabled by default. Once it is enabled, you can set up the additional options described below.
To enable locker management:
- Go To School Main > Lockers > Options
- Edit
- Enable locker management: Check this box to turn on locker management
- Allow multiple students in the same locker: Check this box if your school allows students to share lockers. It’s used when schools have more students than lockers.
- Max combinations per locker: Enter the number of different locker combinations a single lock can have
- Auto Assign lockers by: Choose to assign lockers to students by Homeroom, Grade level, or Team
Creating Locker Groups
Once locker options have been set up, it is time to start managing lockers, starting with creating locker groups. Locker groups contain a series of student lockers based on the option set for Auto Assign lockers by during initial setup. If Auto Assign lockers by is changed, new homeroom instructors, teams, or grade levels will need to be assigned to locker groups before you can change lockers. It is also possible to create lockers while creating a group, but this is not recommended if you plan on importing existing lockers into SchoolInsight.
To add a locker group:
- Go To School Main > Lockers > Locker Groups
- Create Locker Group
- Enter a Description
- Select the Grade Level, Homeroom, or Team, depending on your locker option
- (Optional) Add a Note
-
If you wish to create lockers rather than import, you can do so at this time bychecking Also create a series of lockers for this group
- (Optional) Enter a prefix
- Set the first and last number in the series of lockers
- Save
Creating lockers
After creating locker groups, you need to create lockers. You can create a single locker, many lockers, or import a CSV with locker data.
If you have locker information on an Excel spreadsheet, we recommend downloading the file as a CSV and importing the data to save time compared to manual entry.
Refer to the attached file at the bottom of the page for a formatting example.
To import lockers:
- Go To School Main > Lockers > Import Lockers
- Choose File
- Choose Delimiter
- Select a Preview Mode
- Preview
- If there are no errors, select Import
If you do not have an Excel file with lockers, then we recommend mass creating lockers. This allows you to create many lockers at once, and assign the lockers to a group at the same time.
To mass create lockers:
- Go To School Main > Lockers > Lockers
- Mass Create Lockers
- (Optional) Add a locker prefix
- Enter the First Number in the Series
- Enter the Last Number in the Series
-
Decide to add these lockers to a group
- No Group: The system will not assign this locker series to any locker group
- Use Existing: Choose from an already existing group for the new lockers
- Create New: If creating a new group, enter the relevant fields here
After importing or mass creating the bulk of your lockers, you can then create any additional individual lockers as needed. You can also create individual lockers from the locker groups page.
To create an individual locker:
- Go To School Main > Lockers > Lockers
- Create Locker
- Add a Locker Number
- (Optional) Choose a Locker Group
-
(Optional) Locker Combinations
- Enter in combinations
- Select which locker combination is currently in use by selecting Current Combination
- (Optional) Enter a Note
- Save
Adding lockers to groups
Once lockers have been imported or created, the next step is to add the lockers to groups. If you mass created lockers, rather than importing, you may have already completed this step during the mass creation process.
To add lockers to a group:
- Go To School Main > Lockers > Locker Groups
- Click Lockers for the desired locker group
- Add Lockers
- Select the Unassigned Lockers to add to the group
- Save
Locker Assignment
After locker groups and lockers have been created, and lockers have been added to groups, we begin the process of assigning lockers to students. When assigning lockers, it is recommended to use the auto-assign lockers button, as that allows the system to go ahead and assign all the lockers so you do not have to do it manually.
To Auto-Assign Lockers:
- Go To School Main > Lockers > Locker Assignment
- Select which grade levels will be assigned lockers
-
Tailor how the system generates the lockers with the following options:
- Exclude inactive students: determines if inactive students are given lockers
- Assign students alphabetically (uncheck for random): this determines if the students are randomly assigned lockers vs alphabetical.
- Reassign students already in lockers: This determines if the system will assign all students, or just students without an existing assignment
- Save
Sometimes, there may be a need to assign an individual student's locker, such as when two students get assigned next to each other who do not get along. In these cases, we recommend manually assigning the single locker.
To Manually assign a locker:
- Go To School Main > Lockers > Locker Assignments
- Click Edit on the desired locker
- Choose which locker to assign to the student (or unassign them altogether)
- Choose which locker combination the student will use
- Save
